Job Description – IT Coordinator Position Title: IT Coordinator
Location: Kingsville, Ontario (with support across all sites)
Reports To: Managing Director
Position Summary The IT Coordinator is responsible for providing comprehensive technical support and maintaining the organization’s IT infrastructure across office, warehouse, production, retail, and remote environments. This role ensures reliable system performance, supports end users, manages core systems, and contributes to ongoing IT projects and cybersecurity initiatives while working closely with internal teams and external vendors.
Key Responsibilities 1. IT Operations & End-User Support
- Provide day-to-day technical support across all departments and locations
- Troubleshoot and resolve hardware, software, network, printer, phone, email, and access-related issues
- Support desktops, laptops, mobile devices, shared workstations, scanners, label printers, and other endpoint devices
- Perform user onboarding and offboarding, including:
- Workstation setup
- Account provisioning and permissions
- MFA enrollment and access removal
- Maintain accurate inventory of IT assets including hardware, software, and peripherals
- Coordinate equipment repairs, replacements, warranty claims, and vendor escalations
2. Infrastructure, Network & Systems Administration
- Administer and maintain network infrastructure including switches, routers, firewalls, VPNs, wireless networks, VLANs, and site connectivity
- Ensure reliable connectivity between office, retail, warehouse, and remote locations
- Monitor and troubleshoot network performance, outages, and misconfigurations
- Maintain Windows server environments and core services such as:
- Active Directory
- Group Policy
- DNS / DHCP
- File and print services
- Assist with server, storage, backup, and disaster recovery administration
- Perform routine system maintenance, patching, and upgrades
- Support telephony and communication systems as required
3. Microsoft 365 & Identity Administration
- Administer Microsoft 365 services including Exchange Online, Teams, SharePoint, OneDrive, and Entra ID
- Manage user accounts, shared mailboxes, distribution groups, licensing, and authentication methods
- Support email administration, permissions, retention policies, and collaboration tools
- Assist with device management and policy enforcement
- Support identity and access management, including:
- Password resets
- MFA setup
- Conditional access awareness
- Least-privilege access practices
4. Cybersecurity & Risk Management
- Support implementation and maintenance of cybersecurity controls across endpoints, servers, networks, and cloud systems
- Monitor endpoint protection, security alerts, suspicious activity, and threat notifications
- Assist with vulnerability remediation, patch compliance, and system hardening
- Maintain and verify backup jobs, recovery readiness, and business continuity measures
- Participate in incident response activities, including identification, escalation, documentation, and resolution
- Promote secure IT practices and support enforcement of company policies related to access, acceptable use, and data protection
5. Business Systems & Applications Support
- Support business-critical systems including ERP, POS, Microsoft 365, warehouse systems, and operational tools
- Collaborate with departments to resolve system issues and identify process improvements
- Assist with integrations and workflows across finance, retail, operations, logistics, and e-commerce teams
- Support system testing, rollouts, and post-implementation troubleshooting
- Liaise with external vendors and partners to ensure timely issue resolution
6. Vendor Coordination & Project Work
- Serve as the primary internal contact for IT vendors, service providers, and technology partners
- Coordinate support tickets, quotes, renewals, licensing, installations, and scheduled maintenance
- Participate in IT projects such as infrastructure upgrades, Wi-Fi expansion, hardware refreshes, access control deployments, camera systems, and software implementations
- Assist with planning and executing projects while balancing operational priorities
- Prepare and maintain technical documentation, SOPs, diagrams, inventories, and internal procedures
Qualifications & Skills
- Diploma or degree in Information Technology, Computer Networking, Systems Administration, or a related field
- Hands-on experience in IT support, systems administration, or network administration
- Strong knowledge of Microsoft 365 and Windows-based environments
- Understanding of networking concepts (TCP/IP, VLANs, VPNs, DNS, DHCP)
- Strong troubleshooting and problem-solving skills
- Ability to communicate effectively with both technical and non-technical users
- Experience supporting a multi-site organization is an asset
- Relevant certifications (e.g., Network+, Security+, Azure) are considered an asset
Working Conditions
- Primarily on-site in Kingsville, with occasional support across other locations
- May require occasional after-hours support for urgent issues or system changes
