JOB SUMMARY:
Working under the supervision of the Security Manager, the Administrative Assistant/Security Analyst will perform a variety of general administrative and clerical services. Duties of the Administrative Assistant position include providing support to the managers and department, assisting in daily office needs and managing our department’s general administrative activities.
HOURS OF WORK:
Daily – 8hrs = 40hrs/week
Shift Time – 08:00-17:00 – with one (1) hour unpaid lunch/break per day
Dufferin and Steeles area
Responsibilities:
1. Will coordinate the department’s administrative activities in an effective, up to date, and accurate manner by:
- Operates office equipment such as computers, photocopiers, and computer scanning equipment to complete department tasks.
- Responsible for keeping inventory of all office supplies and placing orders for replenishment is needed.
- Performs clerical functions such as preparing correspondence, arranging conference calls, and scheduling meetings for the Manager or designate.
- Prepares and distributes meeting minutes and maintains organized files of same.
- Prepares meeting materials and assists with the development of PowerPoint presentations.
- Update, maintain and populate Key Control Software and parking control and maintains an accurate database. Prepares reports as required.
- Review new hire information from recruitment, and prepare all applicable items required.
- Coordinates and completes significant special projects independently or in cooperation with other groups as directed by the Manager or designate.
- Update and maintain SOP and Policy procedures revisions within the department.
- All other duties as assigned.
2. Will perform administrative and clerical support. This includes:
- Produces forms, documentation, and correspondence as required.
- Assist in the preparation of regularly scheduled reports.
- Produces and/or assists in the production of required access control reports are required.
- Regularly reviews progress on GXP audit deliverables and takes appropriate action to ensure timely completion of task.
- Verifies and records department staff compliance with the GxP training requirements.
- Assists in the tracking of department budget and ensures spending remains within acceptable variances.
- Prepares and issues Purchase Requisitions
- Prepare and submit service requests
- Prepare and submit work order requests.
- Prepare administrative documents for authorization by the Manager, such as requisitions, purchase orders, and processing invoices etc.
- All other duties as assigned.
3. Will serve as the coordinator of the department’s information, reporting, and communication strategies and activities. This includes:
- Develops or maintains an accurate and up to date records management system (including classifying and electronic and hardcopy files).
- Prepares detailed presentations and reports as required by the Manager or designate.
- Provides website updates to the NA System department to ensure up to date department information is posted on the intranet/website.
- Works as a member of a team to achieve all outcomes.
- Performs all work in accordance with all established regulatory and compliance and safety requirements
- All other duties as assigned
Qualifications:
- Administrative Assistant diploma or related diploma or degree or Post-Secondary education in a related field or an equivalent combination of education and experience.
- Minimum of 3 years’ experience in a similar position.
Knowledge and Skills:
- Demonstrated and significant front-line experience in working in an office environment. Intermediate experience with Excel and Powerpoint is required.
- Must possess strong organization, evaluation, and problem-solving skills.
- Must be able to communicate effectively in writing and verbally.
