Information Technology (IT) Coordinator

Location: Remote, Ontario

Job Summary:

Reporting to the Manager, Information Technology, the Information Technology (IT) Coordinator has the responsibility of effectively dealing with the day-to-day IT and related administrative operational issues. The successful candidate will efficiently support the Manager of Information Technology to deliver IT objectives and goals by aiding in all aspects of IT related tasks.

Primary Responsibilities:

Promptly handle assigned issues and tasks through internal systems such as Teams, Zoom, Outlook, Fresh Service (Ticketing System)
Ensure excellent customer service and teamwork practices.
Carry out ad-hoc daily and weekly tasks as assigned by the Manager of Information Technology in support of departmental operations and objectives.
Act as the first line response to general IT enquiries from users
Effectively escalating issues to the appropriate resources
Undertaking scheduling and coordination of regular preventative maintenance to all Infrastructure IT systems
Proper storage and file management of all IT training, informational, procedural and security documents housed on cloud infrastructure.
Management of all local software licenses in compliance with legal and IT requirements (where appropriate)
Proactive dissemination of relevant companywide communication and information to users
Providing IT related administrative tasks including keeping IT hardware/software inventory up-to-date and relevant IT documentation records.
Management of IT office suppliers (including stock levels and purchasing) guided by the procurement team
Help Maintain business Continuity Plan including the relevant equipment, carrying out periodic tests of the Plan

Customer Service

Enhanced communication between members and customer service department and executive team, fostering a sense of teamwork and collaboration.
Assist in presentations for the IT Team while maintaining a professional work ethic, providing quality customer service.
Perform computer operations and other needed procedures, offer exemplary professional customer service

Data Entry

Organize all candidate forms and provide data entry support for all associated documentation.
Work on various assignments including Administrative Support and Data Entry
Performed data entry into financial and IT systems. Creation of Purchase Requests and processing Purchase Orders.
Performed data entry accurately and expediently. Act as the initial point of contact for all computer and system related concerns from clients or other employees
Organize and file documentation pertaining to warranties and instructional guides for computer hardware
Service to vendor and staff members.
Provided excellent customer service and general administrative support and assist with various overflow tasks as needed.
Calendar management, appointment scheduling, correspondence via email.

Qualifications:

Post-secondary education in Information Systems, Computer Science, Computer Engineering, Engineering, Cyber Security or an equivalent combination of formal education and employment experience

3+ years of experience in a heavy customer focus position in a high fast paced environment involving providing high level support for the IT team and its various towers.
Comfortable working in and assisting others through competing priorities and exemplary organizational skills
Extensive experience working with MS Office suite
Time-management skills and the ability to establish reasonable and attainable deadlines for resolution
Ability to prioritize and manage several milestones and projects efficiently
Professional written and interpersonal skills are essential when communicating with customers and clients
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality

Working Conditions:

Ability to attend and conduct meetings
Manual dexterity required to use desktop computer and peripherals
Overtime as required
